Its most important distinguishing features include:

HD DOC Cost Control: How It Works?

Once HD DOC has been configured on a central server, its login screen will be displayed on the front panel of each of your Sharp MFPs.

When a user logs in (via a proximity card or username/password/PIN combination), the HD DOC server will authenticate and grant access permission.

Non-authorized users are unable to access the copy facility on the MFP and their print jobs will be rejected.

Each time an authenticated user performs a function, the MFP authorizes the request with HD DOC and checks that there is sufficient credit in his or her user account. When the job completes, the MFP sends its data to the HD DOC server, which will record it, calculate the cost and debit the user?s account accordingly.

HD DOC lets you develop an optimized document strategy by harnessing the power of Sharp OSA (Open Systems Architecture), allowing Sharp MFPs to be fully integrated with network-based applications. It acts as the access authority and job accounting server for all of your OSA-enabled Sharp MFPs, granting access to authorized users only.

System secure authorization

  1. Unable to access any function without successful authentication on device. The authentication is provided with a proximity card or alternative methods i.e. PIN number (user is enable to self-generate a PIN number via system webpage), login & password.  Administrator predefines the authentication methods  and user chooses the method he prefers to authorize to devices.
  2. User PIN number – the length of PIN number is between 4 and 8 digits ? this feature is defined by HD-DOC Administrator.
  3. After successful login by card to MFP (multifunction product) or the domain login & password  or PIN number, user is enable to copy, print, multiple scan without additional login processes.
  4. ID management ? user registration, switch on/off and connectivity to user account. User is granted to self-register his card on MFP operation panel putting the non-recurrent PIN number or alternatively domain login & password.

System features

  1. Job accounting in real time mode.
  2. Differentiation of monochromatic and color pages within the same job i.e. jobs which contain mixed pages monochromatic and color at one document.
  3. Printouts which are expired will be automatically deleted from the job queue after the predefined  time.  The expiry time is specified as the system parameter.
  4. Monitoring print jobs through data of system operation precision and user ability to view into ?My print jobs? list. The following information is available:
      • Job name
      • User login
      • Number of pages per job
      • Status of Print job monochromatic /color
      • Date & time of printout.
  5. The access ? from workstation level ? to jobs awaiting in print queue using application server name / IP address in web browser without additional administration activities.
  6. User Single Sign-on Windows (XP or higher) workstation in order to manage secure print queue in application.
  7. Secure printing and follow me printing after successful authentication (see methods described in point 1).
  8. The delegation of user rights to release and receive print job by different user. The delegation is activated via HD DOC webpage.
  9. Logout with a proximity card usage.
  10. Job printing is ready to be released on SHARP Printers & MFP devices:
      • Automatically print stored jobs after login
      • Selecting  jobs from user print queue (MX-AMX2 option required).
  11. System enables to edit print job directly on device within the following parameters:
      • Number of copies
      • Duplex/Simplex
      • Paper tray
      • Page start
      • End page
      • Color / monochromatic.
  12. System is enabled to delete job from the print queue via application webpage or directly on the device.
  13. ?Scan-to-me? is available after successful authentication.
  14. When the print job is not finished on one device (because of temporary device failure), user will be allowed to complete printing on different device, starting form page which user needs to start. User needs the possibility to confirm job correctness on device as well as on Windows system after draft page printing. When a user needs to select the start page number and end page number for printing, it will not have any impact on job parameters until user change them.This option depends on the configuration in administrator parameters and it is allowed to be switch on/off.
  15. Access to reporting module includes full sub-reports structure but client?s organization units  will be allowed to access only to the templates & reports designated specially for them, while the superior organization will have full access to their own and subsidiaries reports.
  16. Ability to generate full detail report in according to the whole LDAP/Active Directory structure or other objects implemented by Administrator with recurrent total costs by particular hierarchy of objects.
  17. All activities regarding to Active Directory synchronization processes work as background services automatically.
  18. AIX System connectivity. HD DOC enables to join  AIX user login with Windows login as one identity. It allows to print in secure mode with only one card usage although two different and independent logins are adopted by AIX and Windows system. All printouts released and received in secure printing mode and they charge the user Windows account.
  19. System enables to view the status of consumables (like toner cartridges) and counters (meters). Such module is aimed to control print fleet and it is fully integrated with the system. Device management from one console without necessity of installation another device management software.
  20. System enables to print documents without double authentication in case of braking print process because of temporary device or power failure as well as consumables shortage.
  21. System enables to archive selected printouts into specified folder while selected print queues are defined in MS Windows Server ver. 2008 R2 or higher.
  22. System enables to archive whole print & scan jobs for selected users or MFP devices.
  23. System enables to keep selected printouts at repository in according to file system information saved in central database.
  24. System enables to archive the list of printed documents and save at least: user, device, document name, extension, size, number of pages, date of print and print type (monochromatic /color, simplex/duplex).
  25. System enables to search user, verify print job(s) in his repository and once again print the selected job(s).

Integration with client?s infrastructure

  1. Selected & current synchronization with MS Active Directory structure ? the selection of attributes and containers, without necessity of double data input or manual data verification by Administrator at MS Active Directory structure.
  2. Synchronization with MS Active Directory structure:
      • Full MS Active Directory structure of LDAP Windows Server 2008 R2 (or higher)
      • Automatic synchronization the whole structure (organizations,  departments, users).
  3. User added to Active Directory will be  – automatically ? added to HD-DOC. Whether he is unable or deleted from Active Directory, the synchronization process  will automatically block or erase his account in HD DOC. Whether user moves to another department system his jobs will charge new department account (with user costs and volumes) from exactly this moment. Historical data remain at previous department (under condition that system synchronization profile covers as well  previous as current organization structure and MFP devices).
  4. Whether in Active Directory a new department is created , it will be created at HD-DOC, too.
  5. All activities connected to Active Directory synchronization will work as the background service without additional operations.
  6. There is no limit for a number of supported user accounts at HD DOC.
  7. All client applications are allowed to keep their language localizations for user interfaces.
  8. System enables remote management via WAN.
  9. Cooperation with MS SQL database (ver. MS SQLEXPRESS 2005 or higher) is build-in system HD-DOC setup.)

Regain control of the copying, printing and scanning

HD Doc has been specifically designed to accompany SHARP devices in order to extend their standard functionality.

 

SHARP?s Open System Architecture (OSA) has enabled the creation of a solution that is highly integrated with devices. Its most important distinguishing features include:

  • Separating authentication (using a proximity card or a login/ password combination) from the set of functionalities implemented by the MFP. The HD Doc system takes over the task of controlling functionalities, allowing the user to personalize them according to his/her needs.
  • MFP control panel can be programmed to allow direct access to the most useful operations and hide features that shall not used:

? Scanning can be personalized, e.g. to be used in a fax server system, domain applications used by the Client, etc. ? Copying with simultaneous scanning and archiving of documents ? Printing all or selected user?s jobs in the queue

  • Adapted to work with different models of proximity card readers, also with a multi-system model, allowing for cooperation with several types of proximity cards at the same time.

Thanks to the architecture of SHARP devices, the scanning system can be expanded in an almost unlimited manner. Communication between MFPs and the HD Doc system is conducted via WEB services. Range of their applications with SHARP?s open system architecture (OSA).

 

An important element of the system is the reporting module, available through the web portal and built in the ASP technology.

 

It enables users to create their own reports in the form of both tables and graphs. Designated persons performing managerial roles within the Client?s organization can create reports pertaining to their organizational structures. Setting limits for individual users and organizational units has been combined in the financial module, allowing managers to supervise the costs incurred by his/her subordinates. The HD Doc system allows for the delegation of rights, among others:

  • Delegation of rights to receive a specific print;
  • Permanent delegation to receive all jobs of the delegating person;
  • Delegation of the right to set limits, create reports and manage the budget of individual organizational units.

HD Doc allows the user to work in both single and multi-server environment and in dispersed structures, i.e. in locations without a server.

 

In such cases, all authorization operations are carried out through software modules installed on workstations. The modular design of the system allows the use of all individual components of HD Doc in almost any manner, as well as the creation of structures which are resistant to failures or temporary unavailability of certain services, or loss of communication between individual elements.

 

Sharp provides support in the implementation process and ensures that the functionality of the system can be modified and expanded depending on business development of SHARP?s Clients.

 

Once the HD Doc application panel has been installed on your SHARP device and the system* has been configured, new functions are added:

  • Counting the number of mono (black) and colour pages in mixed files, i.e. those containing both black-and-white and colour elements.
  • Jobs that have not been printed within a specified time are deleted from the queue. Storage time is defined by one of the system?s parameters.
  • Prints coming out of the print spooler are monitored, including information about the job released from the operating system and it is possible to view the list of jobs in ?my jobs? conducted by each user.

In order to work in the system, users at workstations must perform a single registration (log on) into applications managing the queue of confidential prints.

 

All MFP functions are blocked until authentication is performed.

 

Authentication is carried out with a proximity card and through alternative methods, i.e. a PIN code (each user can generate his/her own PIN code on the website), or entering one?s login and password. The administrator predefines methods to be used, while the user decides which one he/she wants to apply when using the MFP. All specified authentication methods are available at the same time.
